Hold a block of session capacity for a school or group weeks ahead and agree a per-head price. Closer to the date, finalize the real headcount, invoice the organizer, and issue all the tickets at once. Held seats stay out of public inventory while the school counts heads, so nothing oversells underneath the booking.
What does a hold actually reserve?
Capacity in the session, not names. A teacher in March knows roughly 60 and won't know 54 plus 6 chaperones until the permission slips are back in May.
So the block holds the seats and the public calendar shows them gone. Nothing sells out from under the school while the count is still moving.
What happens when the headcount firms up?
Finalize it. The real number replaces the estimate, and any seats you're not using go back to the session. That is how a June Tuesday morning gets a second chance at the eight seats nobody needed.
Per-head pricing does the arithmetic. Say 60 heads at a per-head rate you set: the invoice total follows the finalized count rather than the March guess.
How does the school pay?
Invoice the organizer. Schools rarely pay with a card at a gate, and a district usually needs a document with a number on it weeks before anyone gets on a bus.
The invoice sits with the block, so the balance and the headcount are the same record rather than a spreadsheet and an email thread.
What does the teacher get?
Bulk-issued tickets, all at once. Authorized staff can print or export the session manifest for the morning. Restricted participant details sit behind their own permission, which matters when the participants are somebody else's ten-year-olds.
On the day, the tickets scan like any other ticket, offline if the trail has no bars.
The June field trip, start to finish: hold 60 in March, then finalize at 54 students plus 6 chaperones in May. Invoice the school, and issue 60 tickets in one action the week before. The guide picks up a manifest with 60 names on it.
Worth checking.

- How long a block can sit unfinalized before the seats go back
- Who at the school receives the invoice, and how far ahead they need it
